Booking acceptance
Camping in the Forest LLP (CITF) (referred to as “Camping in the Forest/we/our/us”) sells camping and caravanning holidays via www. campingintheforest.co.uk (the “Website”), via its call centre, via email requests, via postal requests and takes bookings direct at the Camping in the Forest Sites (the “Site(s)”). Any person wishing to make a booking via any of these methods (referred to as “you/your”) acknowledges that such booking is made subject to these Terms.
Our Property can only be used for recreational, non-commercial purposes and are subject to a maximum of 21 nights in any one visit. You must leave at least 7 nights from departure before returning.
Bookings are only accepted from guests aged 18 or above. We do not allow party events, stag or hen party groups or similar. CITF reserves the right to refuse bookings should they appear unsuitable for the property, and can refuse admission on arrival if any aspect of the booking is misrepresented. In this event a full refund would be provided.
The number of people staying in the property must not exceed the number originally booked. The property must not be occupied by anyone who has previously been rejected by CITF and sub-letting is strictly forbidden. CITF reserves the right to cancel the booking for the entire party if this condition is broken and no refund will be due.
CITF reserves the right to refuse ask any guest or visitor to leave whose conduct is believed to be detrimental to the property/site or disruptive to other guests and staff and no refund will be due. CITF also reserves the right to enter the property at any time, but will try to do so when convenient to the guest.
Prices
The prices shown on our website are indicative only and final prices will be shown on your Booking Confirmation.
The price of a Booking includes VAT (where applicable) at the applicable current rate chargeable in the UK and includes all utility costs. However, if the rate of VAT changes between the date of your Contract and the date of your stay, we will adjust the VAT you pay.
Making a Booking
Bookings for our properties can only be made direct with the site that you wish to stay at or through the contact centre.
Payment and deposit
For bookings of three nights or less, or for a stay that encompasses a UK Bank Holiday weekend the full cost of the holiday is payable at the time of booking.
For holidays of four nights or more, a non-refundable deposit of 25% of the total cost of the booking is payable at the time of booking. If the booking is worth less than £30, full payment is due at time of booking. The balance of the price is payable when you arrive at site.
To facilitate a quicker check in onsite (particularly during weekends and peak periods) we recommend that you pay in full at the time of booking.
All sites accept cash, Credit and Debit Cards (with the exception of American Express Cards).
Number in your party
The total number in your party must not exceed the capacity of the accommodation as advertised by us. Babies under 2 may or may not be counted as members of your party. You should check the policy of your chosen accommodation carefully before booking.
Arrival and Departure times
It is requested that you arrive at the site between the times of 2pm and no later than 10 pm in the Summer and 7pm in the winter. You must vacate the property by 10am on the day of departure and keys must be returned to site reception.
Cancellation
If you wish to cancel a booking of 3 nights or less you or one that encompasses a Bank Holiday season date, you will forfeit all money paid.
For a booking of 4 nights or more which does not include a Bank Holiday you will forfeit 25% of the total cost of each stay within the booking with a minimum payment of £30 being due, whichever is the greater amount. If less than £30 was paid at the time of booking, you will not be entitled to receive a refund of the money paid.
If you leave site early for any reason Camping in the Forest will not issue any refund for unused camping nights.
Stay lengths
Minimum stays of 2 nights for weekend and Bank Holiday is required.
Deposits and rates
The price is based per property and includes VAT at 20% and all utility costs.
For bookings of three nights or less, the full cost of the holiday is payable at the time of booking. For holidays of four nights or more, a non-refundable deposit of 25% of the total cost of the booking is payable at the time of booking.
Smoking
All Properties are No Smoking.
Pets
No dogs are allowed in the properties, except assistance dogs.
Liabilities
CITF will not accept liability or responsibility for the death of or personal injury to any guest resulting from proven negligence of them. CITF will not accept responsibility for any loss or damage to the property of any guest, including personal belongings, cash, jewellery and motor vehicles, however caused, during the holiday.
CITF’s responsibility and financial liability (excluding any liability for death or personal injury due to negligence) shall be limited to the return of monies received in the event of accommodation not being available due to exceptional weather conditions, flood or fire, or such other cause beyond their control.
Care of Property
The client shall take all reasonable and proper care of the property and its contents in or on the property and leave them in the same state of repair and condition and in the same truly clean and tidy condition at the end of the hire period as at the beginning.
Right of entry
We reserve the right to enter any Pod at any reasonable time for purposes of inspection or to carry out necessary repairs or maintenance.
Data protection
We only use your personal information in accordance with our Privacy Policy and Cookie Policy. Please take the time to read these, as they include important terms which apply to you.
Complaints Procedure
Every effort has been made to ensure that you have an enjoyable and memorable holiday. If, however, we have not met your expectations, it is essential that you contact CITF’s onsite representative immediately.
If, after this, you feel that the issue has not been resolved to your satisfaction, please address your concerns in writing FAO Customer Services, Camping in the Forest, Greenfields House, Westwood Way, Coventry, CV4 8JH
This procedure is designed to ensure the speediest possible investigation into your concerns.
Disclaimer
While every effort is made to ensure the accuracy of the brochure/other material and prices at the time of printing, errors occasionally occur. You must therefore ensure you check all details of your chosen property and arrangements (including the price) with CITF at the time of booking. CITF will, however, use its best endeavours to notify you of any changes to or inaccuracies in any information contained in the brochure or otherwise provided to you as soon as reasonably practical after we become aware of the change or inaccuracy.
Our right to vary these terms
We may revise these Booking Terms from time to time. Every time you enter into Contract, the Booking Terms in force at the time the Contract is formed will apply.
